Job description

Hobson Prior are looking for an Administrative Assistant to join a Swiss global healthcare organisation who are focused on offering medical solutions in order to transform patients’ lives. You will join them on a contract basis in Basel.

Job Responsibilities:

  • Accountable for administrative support to leaders and other team members, to help achieve business/departmental goals.
  • Control travel expenses, travel requests, and invoices while checking and check that correct cost center, theme number or AD number are used. 
  • Coordinating travel and meeting organization in cooperation with internal partners and/or external parties, if needed. 
  • Supporting team members in the preparation for congresses and, if needed, provide onsite support.
  • Maintain current databases, including intranet, department contact and address lists, organization charts, and other information.
  • File information such as reports and literature, email documents, etc. 
  • You will assist with new-starter on-boarding and orientation. 
  • You will assist team members with their time entries (JAZ).
  • Handle office space allocations and you assume responsibility for ordering and tracking of office supplies.

Requirements:

  • Commercial diploma or an equivalent education and are experienced in an administrative environment. 
  • Previous experience in coordinating team efforts and you are skilled in organizing and planning Expert command of electronic communication and business tools (Outlook, Excel, Word, Touchpoint etc.). 
  • Good spoken and written English, as well as fluency in German.
